Using data to support discussions is a good way to build trust and credibility. Data is power!<\/p>\n<p>If people have different opinions,\u00a0 it&#8217;s easier to build agreement with fact-based information than subjective opinions.<\/p>\n<p>Meetings become more effective because you avoid pointless discussions and focus on what really matters.<\/p>\n<p>It\u2019s well worth investing a few minutes to organize dashboards to be meeting-ready.<\/p>\n<p>These 4 tips will help you lead successful data-driven meetings.<\/p>\n<h2>Set up dashboards to match agenda<\/h2>\n<p>Before the meeting, check that dashboards are set up to support your agenda. Then check filters to ensure your audience sees the correct level of data &#8211; and can&#8217;t see any information that is sensitive.<\/p>\n<p>It should be easy to switch between levels of data for different types of meetings.<\/p>\n<p>E.g. Sales Directors with access to all data can switch between views for:<\/p>\n<ul>\n<li>CEO\/Management team (all data)<\/li>\n<li>Department\/team (by departments)<\/li>\n<li>Partner\/sales channel meetings (by partner)<\/li>\n<li>Individual \/one-to-one meetings (personal level)<\/li>\n<\/ul>\n<h2>Communicate Clear KPIs<\/h2>\n<p>Gather your most important\u00a0 key performance indicators (KPIs) and metrics on one dashboard. This helps focus people\u2019s attention on what you want to acheive during the meeting.<\/p>\n<p>Every participants has the same starting point for discussion.<\/p>\n<p>You should have one or two overarching performance indicators (KPIs).\u00a0 Too many will be overwhelming.<\/p>\n<p>Each KPI should be clear and self-explanatory. This includes each element of the data visualisation. If people are struggling to understand what is shown on the dashboard, they won&#8217;t be listening to each other.<\/p>\n<p>As you review KPIS, keep the conversation positive and ask questions such as:<\/p>\n<p>\u2022 Why is the status the way it is?<br \/>\n\u2022 What has helped or held you back?<br \/>\n\u2022 What things could be better?<\/p>\n<p>Your data may hold the answers to these questions.<\/p>\n<p>If your KPI is &#8216;Growth in Sales Revenues&#8217;, for example, but you see your pipeline isn&#8217;t filling up fast enough to hit targets (i.e.pipeline refill report), you can discuss ways to fill it up.<\/p>\n<p><a href=\"https:\/\/www.businessanalyze.com\/en\/kpi-examples\/\">See example of KPIs and metrics<\/a><\/p>\n<h2>Follow-up actions<\/h2>\n<p>Once you have reviewed data and agreed next steps, follow up each meeting with activity dashboards. Activity dashboards keep everyone focused on key activities between meetings.<\/p>\n<p>Let\u2019s say you agree with your team a revenue target for a new cross-selling opportunity. Your first action is to book meetings, within the next 6 weeks, with all customers that already have purchased Product X.<\/p>\n<p>You create a new dashboard for potential cross-sales and track progress. Because your team shares this dashboard, everyone knows who to target and how it going.<\/p>\n<p>At your next meeting, you discuss what is going well and what isn&#8217;t. Some people have probably put a lot of effort into booking meetings already. Their contribution is important and should be recognized.<\/p>\n<p>That\u2019s the next step.<\/p>\n<h2>Recognize achievements<\/h2>\n<p>Every meeting should highlight some positive developments. Sharing successes builds team bonds.<\/p>\n<p>You can recognize acheivements on dashboards or leaderboards.<\/p>\n<p>Continuing on the example above, for example, you may add to the \u2018A Customer Meeting\u2019 dashboard a report of \u2018New Meetings Booked This Week\u2019.<\/p>\n<p>Every new booking is a new &#8216;win&#8217;.
